Best Camp Management Software: An Honest Comparison
Before comparing features, work out which half of this market you are shopping in. Residential camps and day camps are different products, and the software reflects that.
A residential camp runs cabins, bunks, health records, medication rounds and a season of sleepaway. A whole mature category exists for that, most of it American. A day or holiday camp is closer to a short, intense course: a dated block, a price, a capacity, and parents dropping off at nine and collecting at four.
We make Zooza, which sits on the day-camp side. So read this as a map from an interested party, including the parts where we are the wrong answer.
How to choose (the criteria that matter)
- Residential or day camp? This decides the category before anything else.
- Deposits and instalments. Parents book months ahead for a higher-priced week. Can the system take a deposit and schedule the balance?
- Paperwork that comes with children. Dietary needs, medical details, consent forms, emergency contacts, photo permissions.
- Registers that work offline. A field trip or a sports pitch is where signal goes to die.
- Do you also run term classes? If camps are a once-a-year spike beside a year-round timetable, one system keeping one family record is worth a lot.
The honest comparison
| Software | Best for | Notable |
|---|---|---|
| Campminder / CampBrain / CampDoc | Residential and overnight camps | Built for the sleepaway season: enrolment, health records, cabins and camper management; the deepest tools in this half of the market |
| ClassForKids | UK holiday and sports camps | Camps are a named industry with a dedicated product; flexible booking for full or half days; established UK kids-activity platform |
| Pembee | Camp organisers wanting bookings, payments and attendance kept simple | Built around classes, courses, camps and clubs |
| Sawyer | US providers of children’s camps | Weekly, overnight, day and holiday camps; strong in the US kids-activity market |
| Jumbula | Camps wanting registration with flexible payment handling | Summer camp registration with several payment processors |
| Zooza | Day and holiday camps run alongside term courses, especially across venues or countries | Camps and terms side by side on one parent record, deposits and scheduled balances, make-up credits, parent portal on your own website, six languages, multi-venue and franchise dashboard |
Tools, pricing and features change. Confirm the current details with each vendor before you decide.
Why we are not first on this list
If you run a residential camp, we are the wrong category and you should ignore us entirely. Campminder, CampBrain and CampDoc are built around things we do not do: bunk allocation, nurse rounds, medication logs, a whole summer of children living on site. That is not a gap we intend to close.
If you run holiday camps only, with no year-round programme behind them, a dedicated camp product will likely be a tighter fit than we are.
When Zooza is the right answer
The case for us is specific: camps are not your whole business. You run a year-round timetable and camps are the spike in the school holidays. In that shape, two systems means two parent records, two logins and a family history split down the middle.
The second case is scale across places. The same platform runs your Bratislava camp in Slovak and your Vienna camp in German, with local payment methods on both sides and one dashboard. Pricing is published and scales by active clients rather than by venue, so a second and a fifth site do not add a per-location fee. Connect your own payment gateway and Zooza takes no cut of what parents pay you.
What camps need that generic tools miss
A deposit now, the balance later. A camp is booked in February and runs in July. The system should take a deposit at booking and collect the rest on a date you set, without anyone chasing it.
Half the parents are new. Camps are the biggest first-contact event in the year for most activity businesses. If the booking flow is awkward, you lose people who have never met you. If it is good, you have just acquired a cohort of families for the term that follows — which is the real reason camps are worth running well.
Paperwork that travels with the child. Allergies, medication, who is allowed to collect them. It needs to be on the register in the coach’s hand, not in an inbox.
Registers that work with no signal. A camp spends its day outdoors. Attendance that needs a connection is attendance that gets written on paper and typed up later, badly.
If you want to see how a camp and a term sit together on one parent record, try Zooza free or talk to us about your setup.
The residential-versus-day split is one of five questions that decide the category before any feature does. The others are in how to choose class management software.
